1. Acceptance of Terms

4. Services & Booking

• Services are confirmed only upon signed agreement and/or deposit
• Pricing is subject to change at any time
• Availability is not guaranteed until booking is finalized

5. Payments

• Payments are processed through secure third-party platforms such as HoneyBook
• A non-refundable deposit may be required to secure services
• Final deliverables may be withheld until full payment is received

6. Cancellations & Rescheduling

• Rescheduling requests should be made at least 7 days in advance
• Late cancellations may result in forfeiture of payments
• Emergency situations will be handled at the discretion of Speaking From the Lens LLC

7. Travel & Expenses

7.1 Travel Fee

A minimum flat travel fee of $1,500 applies to any project requiring travel outside the standard service area.

This fee covers:

• Travel time
• Production coordination
• Scheduling and logistical planning

This fee does NOT include lodging, airfare, or major transportation costs.

7.2 Additional Travel Costs

The following are separate and the responsibility of the Client:

• Airfare or long-distance transportation
• Hotel accommodations
• Rental vehicles or rideshare services
• Parking and tolls
• Meals for multi-day or extended travel

These costs must be:

• Approved in advance
• Paid upfront or reimbursed upon invoicing

7.3 Lodging Requirements

For projects requiring overnight stays or extended hours, the Client agrees to:

• Provide hotel accommodations, OR
• Approve accommodations arranged by Speaking From the Lens LLC

7.4 Non-Refundable Travel

Once travel arrangements are booked:

• All travel-related costs are non-refundable
• Client remains responsible for all incurred expenses

7.5 Travel Delays

Speaking From the Lens LLC is not responsible for delays caused by:

• Airlines
• Weather
• Traffic
• Third-party vendors

8. Media Usage Rights

Speaking From the Lens LLC retains the right to use captured media for:

• Portfolio
• Marketing
• Promotional purposes

Clients may request limitations in writing prior to service.

9. Client Responsibility

Clients are responsible for:

• Securing permissions for locations
• Obtaining consent from individuals being recorded or photographed
• Providing accurate event and project details

10. Limitation of Liability

Speaking From the Lens LLC is not liable for:

• Indirect or consequential damages
• Loss of revenue or business opportunities

Liability is limited to the amount paid for services.

11. Third-Party Services

We may utilize third-party platforms for payment processing, communication, and delivery. We are not responsible for outages or failures of those systems.

12. Governing Law

These Terms and Conditions are governed by the laws of the Commonwealth of Virginia.

13. Modifications

Speaking From the Lens LLC reserves the right to update these Terms at any time. Continued use of the website constitutes acceptance of those changes.
