How we operate and what to expect.
It starts with a free strategy session. We learn about your event, goals, and audience — then scope a custom solution. No generic packages. Every project is tailored to your needs.
Once we agree on scope, you receive a proposal and contract through our client management system. We walk you through our working style, deliverables, and timeline expectations so there are no surprises.
Absolutely. We serve clients nationally. For events outside the DMV, travel arrangements include flights, lodging, and GSA per diem rates, with 1–2 travel days built in before and after the event.
Both options are available. We work on a per-project basis for individual events and also offer monthly retainer partnerships for organizations with ongoing media needs.

For Event Hosts & Producers
Questions from conference organizers and production teams.
We review your stage layout, audio feeds, lighting, run-of-show, and AV diagrams in advance. On event day, we coordinate directly with your AV lead for camera placement, audio connections, and timing cues. We operate like an extension of your team.
For a full-day conference: 100–250+ edited photos, a 60–120 second highlight reel, individual speaker clips, full session recordings (lightly switched multi-camera), and organized photo sets for marketing and sponsor reports. Scope scales with event size.
Yes. We capture sponsor signage, branded moments, and attendee engagement throughout the event. These images and clips are organized specifically for your sponsor communication and renewal conversations.
We handle multi-day events regularly. Staffing, equipment, and deliverable scope are adjusted to match the complexity of your production. Each day is treated with the same level of preparation and coverage.

Deliverables & Turnaround
What you receive and when.
Our standard turnaround is 5 business days for most events. This includes edited photos (high-res JPEG, 300 DPI, color-corrected), highlight reels (1080p MP4), and speaker clips. Complex multi-day events may require additional time.
All deliverables are uploaded to a secure online gallery with organized folders and professional file naming. Everything is structured for easy handoff to your marketing team or social media manager.
One round of minor revisions is included with every project. Additional revisions beyond that scope are available for a fee. We encourage consolidated feedback from one decision-maker to keep the process efficient.
Yes. Expedited turnaround options are available for time-sensitive projects. This is discussed during the scoping conversation so we can plan accordingly.
Investment & Booking
How pricing and scheduling work.
Every project is custom-scoped based on event complexity, duration, deliverables, and travel requirements. We do not publish generic rate cards because no two events are the same. The best way to get a clear picture is to book a strategy session.
Standard terms are 50% upon booking to secure your date, with the remaining 50% due on event day. Corporate clients may qualify for net-30 terms based on the engagement.
We recommend booking 4–6 weeks in advance for standard events and 8–12 weeks for large or multi-day productions. High-demand seasons fill quickly, so earlier is always better.
Speaking From the Lens retains ownership of all content. Clients receive full licensing rights for marketing, social media, promotional, and internal use. This is outlined clearly in every contract.
